What we hold, and who sees it.

Last updated: November 3, 2026

We collect about as little as a business can and still do the job. This page says what, why, and who else gets it, in the order those questions actually come up.

Who we are

Renewal Crew. Email privacy@coverahead.com. We're not an insurance agency; we remind trade business owners when their policies renew and introduce them to licensed agents who want to meet them.

What we collect

From the homepage reminderYour email address and the month your policy renews.
From a trade page formYour name, business name (if you give one), trade, business size, ZIP code, phone number, email address, the renewal month, and whether you asked for a second opinion.
With every submissionThe date and time, the page you submitted from, the campaign code in the link if there was one, your IP address, your browser's user-agent string, and the exact consent wording shown on the page.
If you email usWhatever is in your email.

What we never collect

We don't ask what you pay, who handles your policy, what you carry, your claims history, your payroll figures, your tax details or your account numbers. We're not licensed to do anything with any of it, so we don't collect it. If you send us something like that anyway, we'll delete it and tell you to take it to a licensed agent.

Where we got your details, if we emailed you first

From public records and commercial business-data sources — business registrations, licence registries, public directories and business-contact databases that anyone can license. Business contact details, in other words, used to contact a business. The disclosures page has more on this, and you can opt out here.

What we use it for

  • Sending you the renewal reminder you asked for.
  • Introducing you to one licensed insurance agent, if you asked for a second opinion.
  • Answering you when you write to us.
  • Keeping a record that you consented, and to what — that record is kept whether or not you stay on our list.
  • Keeping our own suppression list, so an opt-out sticks.

That's the complete list. We don't build profiles, we don't score you, and we don't feed any of it to advertising.

Who else sees it

  • One licensed insurance agent, and only if you asked for a second opinion. They get your name, business name, trade, size, area, contact details and renewal month. They're an independent business with their own privacy practices, and once they have your details, their copy is theirs — ask them directly to delete it.
  • Our service providers, who process data on our instructions only: website and function hosting, our database, our email sending and inbox, and our customer-record system. They may not use your details for anything of their own.
  • Nobody else. Not a shared lead list, not a bidding exchange, not a data broker, not another agent.
  • If the law requires it, or to protect someone's safety or our legal rights — and if our business is ever sold, to the buyer, under this same policy.

Is that a "sale" of my information?

Possibly, and we'd rather say so than bury it. Licensed agents pay us to arrange introductions. Under California law and some other state laws, being paid to pass your details to another business can count as a "sale" or as "sharing", even though it only ever happens because you asked for the introduction.

So, plainly: we may be treated as selling your personal information to one licensed insurance agent, when you ask us to introduce you. We don't share anything for cross-context behavioural advertising, and we never sell to anyone else. You can stop it at any time on this form, which also serves as our "Do Not Sell or Share My Personal Information" request.

Cookies and tracking

There is no advertising pixel, no analytics tag and no tracking cookie on this site. We set no cookies at all.

One thing to mention for completeness: if you arrive from one of our emails, your browser keeps the campaign code from the link in session storage while you're on the site, so a form you submit a page later still knows which email it was. It's deleted when you close the tab, it's not shared with anyone, and nothing in it identifies you.

Because we don't advertise or track, there's nothing here for a Global Privacy Control signal to switch off. If your browser sends one, we record it with your submission. It doesn't cancel a request you've just made of us — if you asked us to introduce you to an agent, we take that as the instruction it is — but you can always opt out afterwards.

How long we keep it

Reminder (email + month)Until you opt out, or two years after your last renewal reminder, whichever comes first.
A full submissionThree years from your last contact with us, then deleted.
Consent recordsFive years, because that's the period we may need to prove we had permission.
Suppression listIndefinitely. It's the only way an opt-out holds.

Your choices

  • Stop the emails: reply "stop" to any email, or use the form. Same day.
  • See what we hold: email privacy@coverahead.com and we'll send it.
  • Correct it: same address, or just submit the form again — a second submission replaces the first.
  • Delete it: same address. We'll delete everything except the consent record and the suppression entry, and we'll tell you that's what we've done.
  • Opt out of "sale" or sharing: the form.

We answer within 45 days and usually within a few. We won't treat you any differently for asking, and we don't charge for it.

If you're in California

The California Consumer Privacy Act gives you the right to know what we collect and who we disclose it to, to have it corrected or deleted, to opt out of its sale or sharing, and not to be discriminated against for exercising any of that. The sections above cover each one. You can use an authorised agent to make a request; we'll ask for proof that they're acting for you.

We don't collect sensitive personal information as that law defines it, we don't knowingly collect anything about anyone under 16, and we don't use anything for profiling or automated decisions about you.

If you're somewhere else

Residents of other states with privacy laws — Colorado, Connecticut, Virginia, Utah, Texas, Oregon and the rest — have similar rights to see, correct, delete and opt out. Use the same address and we'll treat your request the same way, whichever state you're in. This site is for businesses in the United States and we don't aim it at anyone outside it.

Security

Everything travels over HTTPS and is held in access-controlled systems with a small number of people able to reach it. No system is perfect, and we won't claim ours is. If something goes wrong that affects you, we'll tell you.

Children

This is a site for business owners. We don't collect anything from anyone under 16, knowingly or otherwise.

Changes

If we change this page we'll change the date at the top. If the change is significant and we have your address, we'll email you about it rather than hope you noticed.
